How to organize work orders from request to completion

To organize work orders, capture the request, identify the equipment or location, set a priority and track the work through completion. Use consistent identification to find the history of the same issue.

Separate the request from the completed work

The initial request describes the problem and its location. The completion record describes the work actually performed. Keeping both helps prevent a request from being mistaken for completed maintenance.

If several people submit requests, agree on equipment and location names first. Three names for the same asset make it harder to find earlier issues. Where the solution provides a linked register, select the existing record rather than creating it again.

Choose fields that support prioritization

The demo below loads the official Work order from the catalog. Check the fields included; the following items are a review checklist for your routine, rather than a promise that every stage is included in the standalone form.

  • Request: equipment or location, problem description and available evidence.
  • Priority: reason for urgency and a deadline the team can track.
  • Execution: owner, service notes and current status.
  • Completion: work performed and anything still outstanding.

Example intake: an identified request

This fictional scenario helps you review the visible fields. The template contains intake details; the public preview does not perform transitions or save service work.

  • Asset or equipment: Test equipment A.
  • Location or department: Test area.
  • Maintenance type: Inspection.
  • Priority: Medium.
  • Problem or requested scope: Check noise reported during use.
  • Responsible technician: Demo technician. Review service start and expected due date when they are part of your routine.

Use a solution when work has stages and owners

A standalone form is enough for a team that only needs to collect requests. To track open, ongoing and completed work, use the Ecofyx Maintenance and work orders solution and review the actions available in its dashboard.

Demonstration scenario: a pump makes an unusual noise. The request identifies the equipment and describes the condition. A technician records the service; the completion record should describe the work performed. Do not treat a note as a completed stage without reviewing the record.

Review the history and refine the operation

In Results, review records within their context and allowed access. Before sharing with the whole team, run a test cycle: submit a request, find the record, use an available action and review completion.

Check the stages and features available in the selected template. Final submission requires an internet connection. Test the request, service record and Results before using it with your team.

Try the actual form

Test mode. You can explore the fields without an account. Your answers are not sent, and no operation is created.

Common questions

Can I create a work order without coding?

Use the ready Work order form or the maintenance solution and adapt fields through the existing builder.

Does the demo save data?

No. It lets you explore the fields in test mode without creating a real work order.

Do I need a complete application?

Use the form for simple collection. Choose a solution when you need to track records, stages and owners within the same context.
