How to create photo inspections and track follow-up work
A photo inspection combines location identification, the condition observed, evidence and follow-up. Start with a short form, then organize outstanding work by owner and status inside your operation.
Define what the inspection needs to confirm
Choose a specific routine: checking equipment, inspecting a facility or recording the condition of an area. A broad question such as “Is everything OK?” usually produces answers that are difficult to compare. Describe the condition that needs to be observed instead.
Keep identification of the inspected object separate from the inspection outcome. If two teams visit the same location, their records should make it possible to recognize that location and understand what changed. A photograph supports that identification; it should not be the only information about the issue.
Build the record in four parts
The interactive example below uses Photo inspection from the Ecofyx catalog. Explore its fields and decide what you need to adapt before creating your own copy.
- Identification: inspected location or asset and the context of the visit.
- Condition: describe the observation, using clear choices where appropriate.
- Evidence: a readable photo with a note explaining the image.
- Follow-up: who owns the issue and how completion will be recorded.
Example entry: an issue with context
Use this fictional scenario to explore the template; it does not describe a customer or a measured result. In the demo, check how the information fits together before creating your copy.
- Location/area: Test room A.
- Items checked: Lighting and Equipment.
- Overall condition: Fair.
- Issues, risks or pending items: Corridor light not working.
- Action taken or recommended: Refer the check to the responsible team.
- Priority: Medium. The photo is optional and should show the condition described.
Turn the photo into trackable work
Demonstration scenario: a team observes a leak in a facility. The record should identify the point and describe the leak; an image without context makes analysis depend on the photographer’s memory. Define the follow-up before repeating the inspection.
In Ecofyx, use a standalone form when you only need to record an inspection. For multiple records, stages and owners, consider the Field inspection solution. Results lets authorized users review records.
Try it on a phone before sharing
Open the demo, explore the fields and check whether the text explains what should be recorded. Use the device your team will use. After installing your copy, validate photos, access and Results with a test account.
Location and camera availability depend on device permissions and the form configuration. If a routine requires access at a particular location, configure that rule in the form settings. A photo does not automatically confirm where an inspection happened.
Try the actual form
Test mode. You can explore the fields without an account. Your answers are not sent, and no operation is created.
Common questions
Can I try it without an account?
Yes. The demo uses the actual form preview. Values entered in test mode are not submitted.
Where can I review inspections?
After creating your copy and completing a record, open Results. An operational solution can organize several forms and stages.
Does this example act as my operation?
It is a field preview. Sharing, saved records, permissions and follow-up need to be configured in your account.
