How to track PPE issuance with organized records

To track PPE issuance, link each delivery to the employee and equipment, record quantity and identification details, and keep a searchable history. A short form supports collection; a solution organizes follow-up.

Identify the delivery, not just the item

An equipment inventory does not show who received each item. An issuance record needs to identify the employee, the PPE and the quantity delivered. Different descriptions for the same item make later checks harder.

Start with the information your team actually uses to verify a delivery. Where an internal employee register exists, reuse it within the authorized operation. Choose who can access issuance records and employee information.

Review the form before using it

The example below uses the official Ecofyx PPE issuance tracking form. It includes employee, equipment, CA, expiry and quantity fields, with optional receipt evidence. Explore the fields before deciding on your configuration.

  • Employee: enough identification to locate the correct history.
  • PPE and CA: identification of the item and information available on the product.
  • Quantity and expiry: information needed to check the delivery.
  • Receipt evidence: supporting evidence where it is part of the routine.

Example issuance: employee, item and quantity

Explore the form with a fictional scenario. In a real account, equipment and certificate information needs to be checked by the responsible team; this example does not assess suitability, legal validity or compliance.

  • Employee: Demo employee.
  • PPE delivered: Demo item.
  • PPE approval certificate (CA) number and expiration date: fields to check against the equipment information before real use.
  • Quantity delivered: 1.
  • Notes: Test issuance to review the record.
  • The issuance photo/receipt and return due date are optional in this example form.

Organize queries and next actions

Demonstration scenario: an employee receives a new pair of gloves. Record the delivery as a separate occurrence rather than deleting the previous issuance. Anyone reviewing the history should be able to understand what was supplied each time.

The standalone form supports direct collection. The Workplace safety and PPE solution brings records and actions into the operation context. Review the template’s capabilities before creating additional controls or assuming replacements happen automatically.

Check the workflow with your team

After creating your copy, perform a test issuance with fictional data, check Results and review access. An unclear field label tends to produce records that are hard to compare, even when the tool works correctly.

A digital record does not automatically establish compliance. The responsible team defines safety procedures and the documents it needs to retain.

Try the actual form

Test mode. You can explore the fields without an account. Your answers are not sent, and no operation is created.
